On daily basis various kinds of reports are prepared and submitted to the management, some time these reports are very important, and required special investigation, and million dollars are spent to find out the facts, while sometime it does not required such investigation and cost.

Sometime such reports are prepared by sub-ordinates which does not required any special knowledge, qualification, and experience, but in some cases it required special qualification and a very rich experience.

However these reports are required to run the various decisions making. We need various kinds of reports to run the day to day business. Such as sales reports, market share reports, customers reports, customers complaints reports, revenue reports, grievance report of employees, opening a new branch, making investment in a product or company, finding new markets, research of a new brands, relationship of employees, announcing new packages.

Know the point is that we should understand basic definitions of business report.

Business Report:

“A document is which a given problem is examine for the purpose of providing information, presenting findings, putting forward recommendations and sometime suggestions”

“A special kind of information forwarded to the management for various decision making” Business reports can be divided into two kinds or classification which are the following.        
                            
  Business Reports


1. Routine Reports                                                                                   
2. Special Reports

  special report are further divide into two part                                                            
                                                                                  
   Short Reports                          Long reports. 
           
    In business communication we are concern with special reports, we will study in detail.

Routine Reports:

            Routine reports are those reports which are required on daily basis, or routine in the business, it does not required any special investigation neither it required any special education, experience any body with the knowledge of the system can prepared time reports.

Such as customers list, Daily expenses, employees salary reports, specific area sales, stock summary, daily sales reports, daily stock out reports, purchase report, overtime schedule etc.

Special Reports:

            In special report a given problem is examine information, and findings are presented to the management for various decision making, these reports are prepared with special care, by an individual who has experience in the relevant field. Special reports can be divided into two kinds which are the following.

  1. Short Report
  2. Long Report.

  1. Short Report:
Short report is also called informal report, the short report may consist of one page or more than one page, it may be several pages, the short report does not contain any cover, table of contents, and any special display. A short report is written in 1st person pronoun like “I, We” etc.
  1. Long Report:

A long report is always lengthy from the short report, it may include cover, title page, summary, introduction, body, conclusion etc. its writing style is in third person “It , They, This, etc” Pronoun , A long report is also called a formal report.
