Organization and outline of Business Report | Business Comunnication


By organization of a business report we mean what will be the sequence of writing of a business report, what things will be included in a business report and what will be excluded outline deals with such determination of sequence.

The basic organization of report is discussed below which contains three steps.

1.      Data Collection
2.      Organizing data.
3.      Actual writing

Data Collection:

No report can be prepared with out proper and valid data, the data or information depend upon the problem. But however it can be collected from various sources some of which are the following.

1.      Library Books
2.      internet
3.      Real Field

  1. Library:
Some problems may be solved with the help of books which are widely available at library, its also an art to find the required book in the library one who is searching for a book in the library must know how to find. In most library software is used that can tell you the desired location of the book, you can search it through the name of the author, surliest or the code given to the subject book.


  1. Internet:

 In to days modern world very less amount of people will search for a book to collect certain information, people tend to use internet, the internet can provide efficient data in minimum time period. With less accuracy as compared to books.


  1. Field work:
 Some topics are such of a nature which can not be searched with the help of internet it can provide some information but not complete, for this purpose we will visit the field and will meet people. Some methods of collecting information from the field are the following.


  1. Observation:
We can observe people how they are dealing, doing a job, responding, buying, selling, etc and can collect desired data.


  1. Interview:
We can make discussion with the targeted individuals to get information, by asking several questions, that can lead the desired information, which we need to find solution of the problem.


  1. Questionnaires:
 A Questionnaires is a combination of various questions which leads to  the collection of desired information, we approximately use the  questions, related to our topic, and the answer to these questions generate useful information.


  1. Focus Grouping:
 In focus grouping some experts of the specialized field inter into discussion with some selected individual in a close environment. Both discuss an issue; the experts get information which is required form the discussion.


Outlining:

Outlining is determining the sequencing of the material that will be used in the report, and putting the charts, graphs, tables, diagrams in its proper location where it can be fitted. Outlining is important for the correct structure of the organization of the reports.
