Problems & Concepts of Communication | Business Communication


Definitely we would like that our message should be successful, and there should be no problem at all but is it possible? Of course there are many problems in which some time its impossible to cop with the problems which cause disturbance, these problems are also called the barriers of communication which causes the reasons for miss communication. There are some concepts and their problems which lead to miss communication.

  1. CONVENTION OF MEANING
  2. PERCEPTION OF REALITY
  3. VALUE, ATTITUDE, AND OPINIONS

1) CONVENTION OF MEANING:

In convention of meaning the meaning of the message is misunderstood because of the words used in the message, because EACH PERSON MIND IS A UNIQUE FILTER, people process thing according to their own understanding, experience, and knowledge, so it’s not necessary that whatever he process is the exact meaning which we wanted to convey. Some problems are the following.

 DENOTATION:

“Denotation is the dictionary meaning of word” such as Door, Car, Window, clothes, etc communication problems arises when the person who receive our message don’t know about the dictionary meaning of the words, and miss understood it so as a result our message fails to communicate the message as the receiver wants to communicate.

CANNOTATION:

“By connotation we mean when one word having different meaning “its quite confusing when one word having different meaning who will tell the receiver that which meaning the sender wants to convey, in different occasion the meaning of words are changed, ie Female is a word which has many connotative meaning, it may mean A girl, women, lady, widow, daughter, sister, wife, etc 

MIS-COMMUNICATED INSTRUCTIONS:

Every person has own understanding that’s why the receiver does not feel the reality of sender’s message.mis communicated instruction arises because of different understanding of the same words e.g. BIMONTHLY is a word which has many meaning 1)  it means Twice a month or after fifteen days 2) it means after two months.

Suppose if the an officer order his employee to submit him report bimonthly the subordinate did not submitted report after fifteen days the officer asked the reason that I understood by bimonthly after two months the officer become angry  because he understood by bimonthly after fifteen days so both were correct and the statement is miss understood. 

EUPHEMISM: 

“Euphemism means the use of simple and easy  words instead  of complex and difficult words “  some time the sender use the complex word instead of simple words which causes disturbance in communication.eg if we Use Bonjure which mean Welcome etc

2) PERCEPTION OF REALITY:

 Many people has their own understanding of different things ,its sometime cultured, some words are used in some special meaning in some societies, they give it value too. So whenever the message is deliver in some other way defiantly its misunderstood. The obstacles in this are as following:

*ABSTRACTING:

Abstracting is a process in which we select some facts while omitting other information.

a)Necessary Desirable Abstract :

 Some time we   select some facts and ignore other because of many reasons such as
      ·         lack of time
      ·         lack of information etc

b) Slanted statements:

Some time we abstract some facts which is unfair in factual reporting. its directly related with those who report other statements like the news casters, news reporters etc they are not authorized to use their own statements with the statements, whose reprot is reported.

c) Risky Abstracting.

Some time the abstracting is risky if we don’t have much information such decision based on incomplete abstracting cause difficulties.

INFERRING:

It can be defines is drawing conclusions on the basis of some evidences.
It has two types:

     a)      Necessary Desirable Inferring: 

    Some time we draw some conclusions without enough evidence.
    ·         lack of time
    ·         lack of information
    ·         Quick decision
    ·         Immediate opportunity etc

B) Risky Inferring:

Some time the abstracting is risky if we don’t have much information such decision based on incomplete information cause difficulties.      

3) VALUE, ATTITUDE, AND OPINION

Value: “A commonly held believe”

It means a specific thing in a culture or society which represents respect of that culture. If our message is against of any culture than it will not convey the intended meaning.

Attitude: “How people act and react”

It means that how is manners of people with each other. If we communicate effectively our message will be conveyed positively, otherwise it cannot earn the desired purpose.

Opinion: “How people think, what the views of the people are”

Because of the difference in the meaning and understanding of the above mention concepts there are possible miss communication, some examples are the following

Favorable and unfavorable information

Being a rational individual people always prefer all those products and information’s which are in there favor and regret all those information and products which are unfavorable.

Closed minded

An individual with a close mind is difficult to satisfy because he doesn’t listen to you but want his statement to be accepted so miss communicate arises.

Open minded

An individual with an open mind is easy to communicate because he can understand you and can favor you, so communication is possible with the intended meaning.

Sender’s credibility

Some time people refer more to the source from where the information is issued or who is the source person, if the information is unfavorable people still give it wattage because of the individual who is reporting the information. It’s because of his experience, knowledge, skill etc.

Environmental and business stress.

Stress has its effect on the customer and businessmen and it greatly affect the decision of all these ,any change in the business condition bring a change in the minds of the customers i.e. interest rates, inflation etc in such a situation it become difficult to make understand the receiver to act upon accordingly.
